Treasurer - Scope Of Responsibility

As Of November 2002

APOLLO SOCIETY BY LAW DEFINITION:

"The Treasurer shall receive all monies paid to the Society and shall be responsible for the deposit of same in the Society's bank account(s). The Treasurer shall present a detailed account of receipts and disbursements to the Executive whenever requested and shall prepare for submission to the Annual General Meeting a duly audited statement as hereinafter set forth, of the financial position of the Society and submit a copy of the same to the Secretary for the records of the Society. The Treasurer shall have custody of all financial books and records and prepare the financial statement to be filed wit the register of Societies according to the Societies Act of Alberta. The Treasurer is responsible for auditing the books, records and financial statements of all Society organizations that maintain their own bank account."

Specific Duties:

  • As above.
  • Responsible for arranging all signing authority changes with the bank.
  • Responsible for obtaining all accounting books, documents, and supplies from the previous Treasurer.
  • Provides accounting overview to the newly elected Treasurer when not re-elected.
  • Ensures the validity of the annual Western Cup budget and facilitates required deposits and disbursements.

Board Meeting Requirements:

  • Attends all AGM and Board of Directors meetings.
  • Presents monthly balance sheet and income statements.
  • Presents monthly cash flow statement.
  • Verifies all memberships listed by the Secretary have been paid.
  • Ensures all revenue collected by Board Of Directors, volunteers or other individuals on behalf of Apollo is fully accounted for and provided to and deposited by the Treasurer in a timely fashion.

Miscellaneous Duties:

  • Responds to all correspondence in a timely fashion.
  • Particpates in Apollo activities and social events as much as possible.
  • Utilizes the Apollo email alias treasurer
  • Other duties as agreed by the Board Of Directors.
